Oral and poster presenters will receive an email with instructions for virtual delivery of presentations.
The meeting is scheduled to begin at 1:00 p.m. EST on November 8 and 9:30 a.m. EST on November 9. Daylight Standard Time begins November 7, and clocks are turned back one hour.
The virtual meeting will be delivered using RingCentral Meetings to enhance participant engagement. Gather.town will be available during the meeting for networking and poster viewing.
Oral Presentation Information
An assigned moderator will manage all presentation slides to expedite the meeting. Send all oral presentation pdf files to [email protected] or via large file transfer.
Oral presenters will have the opportunity to test and become familiar with the RingCentral Meetings platform prior to the meeting.

Format requirement: widescreen (16:9) aspect ratio
Poster Presentation Information
Poster presenters will upload an electronic file of their posters (e-posters) prior to the meeting. The e-poster tool provides additional exposure by giving attendees and others the ability to view posters online and in Gather.town. Poster presenters will give 1-minute, 1-slide lightning talks and will be featured during a 1-hour poster session in Gather.town.
Poster presenters will have the opportunity to test and become familiar with the RingCentral Meetings platform prior to the meeting.

E-Poster Instructions
To submit an e-poster:
- 1. Log in to the abstract submission page of the meeting portal: https://www.hou.usra.edu/meeting_portal/abstract_submission/.
- 2. Next to the listing of your VEXAG 2021 abstract that was assigned to a poster session, you’ll see an
link in the Action column.
- 3. Click on this link to go to the e-poster upload page.
- a. All e-posters must be submitted in PDF format.
- b. The maximum file size allowed is 10.0 MB.
- 4. After using the browse button to locate the file containing the e-poster on your computer, and acknowledging the copyright statement, click the “Submit” button once and wait for the confirmation screen.
- 5. To find a particular abstract, use the abstract search function. Those with e-posters will have an additional link in the search result to view the associated poster.
To replace an e-poster: Return to the abstract submission page of the meeting mortal and click on the “E-POSTER” link that appears next to the title of the abstract you submitted.

Registration
No registration fees are being collected for this meeting, but registration is required for communication and planning purposes. To continue receiving e-mail updates about this meeting, register using the electronic registration form. Virtual meeting registration will remain open through November 9, 2021.
During the week of the virtual meeting, registered attendees will receive an e-mail from Houston Meeting Info with virtual connection information.
